Getting started takes less than a minute. Outlook’s tagging system is flexible, allowing you to create a workflow that mimics how your brain actually processes information.
1. Access the Category Menu: Right-click any message in your inbox and hover over the Categorize option. If this is your first time, select All Categories to open the management window.
2. Create and Rename Tags: In the Color Categories dialog box, click New. Give your category a name (e.g., “Urgent,” “Finance,” or “Project Alpha”) and pick a distinctive color. Click OK to save it.
3. Apply Categories: To label an email, simply right-click it, select Categorize, and click your desired color. You can apply multiple categories to a single message if it overlaps across projects.
4. Sort and Filter: Click the Categorize column header in your email list to group all messages by their tag. Alternatively, use the Filter button in the search bar to show only specific categories.
Why It's Useful
The primary benefit of categories is visual triage. When your inbox is a sea of white, every email feels equally important—which is a recipe for anxiety. Categories break that uniformity.
-
Prioritization at a Glance: A bright red “Urgent” tag helps you ignore non-essential newsletters and focus immediately on time-sensitive client requests.
-
Context Switching: If you have time between meetings, you can filter by “Quick Tasks” (items taking under 5 minutes) to clear small hurdles without needing deep focus.
-
Reduced Decision Fatigue: You stop asking, “What should I work on next?” and instead look at your pre-defined categories to see which project needs attention.
-
Non-Destructive Organization: Unlike moving emails into folders—where an item can only live in one place—categories let you tag a message with “Project A” and “Pending Approval” simultaneously, making retrieval far more intuitive.
Related Features to Supercharge Your Workflow
Outlook offers several built-in tools that work in harmony with categories. Once you start tagging, try these features to automate your organization:
Quick Steps
You can create a “Quick Step” that automatically archives an email and assigns it a specific category in one click. Go to the Home tab, click Create New under the Quick Steps gallery, and set the action to “Categorize message.” This turns a multi-step filing process into a single button press.
Search Folders
If you find yourself constantly filtering for the same tag, create a Search Folder. Right-click the “Search Folders” icon in your folder pane, select New Search Folder, and choose “Categorized mail.” This creates a virtual folder that always displays every email with that specific tag, regardless of which folder it is actually saved in.
Conditional Formatting
You can tell Outlook to change the font style of emails based on their category. Go to View > View Settings > Conditional Formatting > Add. You can set a rule so that any email marked with your “High Priority” category appears in bold red text, making it impossible to miss in a crowded thread.
By combining these simple labels with automated rules, you stop managing your inbox and start mastering your workload.
A Better Way to Avoid Forgotten Email Attachments
We’ve all done it. You write an email, carefully explain what’s attached, click Send, and then realise the attachment never made it into the message. A simple way to avoid this is to attach the file before you start writing the email. As soon as you open a new...
